The Archive and Document Management Service of Girona Provincial Council has been assigned the legal jurisdiction of all matters related to the management of the archives and records that correspond to the Provincial Council as the territorial public authority responsible for managing the economic and administrative interests of the counties of Girona.
General objectives:
Record Management
Its main purpose is to organise, manage and control documents, from the moment they are received or created by Girona Provincial Council until they are definitively archived, in such a way that they can be accessed by citizens and the public authorities. The archive service advises and trains administrative unit staff in the organisation of management archives.
General Archive
Ever since its creation, the General Archive has managed, handled and safeguarded all the records generated or received by Girona Provincial Council, making them available to the general public. It covers the chronological period from the 11th to the 21st century and fills over three kilometres of shelves.
It offers assistance and technical cooperation to local councils on matters concerning archives and the management of documents and information
It offers technical assistance and cooperates with local councils in order to organise the management and administrative archives of municipalities with fewer than 10,000 inhabitants, as well as providing tools and guidelines for defining, establishing and maintaining the Record Management System. One application used in record and information management is the ACTUAL software (Unified Local Administration Acts) which the Provincial Council began developing at the end of 2006.
Historical Archive
It gathers and manages the documents which, following an assessment and selection process, have been preserved in order to certify and provide evidence of the actions carried out by Girona Provincial Council and its related and autonomous bodies. It covers the chronological period from the 11th to the 20th century.
In addition to the records generated by Girona Provincial Council (1822-20th century), it holds other, older historical records which arrived when the institution took over the jurisdiction, as in the case of Santa Caterina Hospital (1009-1855) and the old Provincial Hospice (14th century-1855). Other noteworthy records correspond to the Civil Government (1772-1935), the Delegate Commissariat of the Government of Catalonia in Girona (1931–1939) and the Provincial Electoral Census Office in Girona (1890-1977).
Administrative Archive
It gathers and manages documents that have come from corporate offices and which, given their relevance, can be used directly by Girona Provincial Council, as well as to safeguard citizens’ rights. It covers the chronological period from 1950 to the present.
Library – Auxiliary Newspaper Library of the General Archive
It contains a number of historical reference works and works related to the counties of Girona, publications subsidised by the Provincial Council and other works of interest.
Organisation and record management: classification, description and inclusion of documents.
Accessing documents:
Conservation and protection of documentary heritage: collaboration with other public authorities and/or individuals to preserve the documentary heritage of the counties of Girona.
Dissemination: organisation and collaboration in the preparation of dissemination activities related to the archives and records: publications, conferences, exhibitions, workshops, guided tours of the facilities of Girona Provincial Council and its archives, etc.
Training: courses, workshops, internships for university students, etc.
Assistance and cooperation with local councils to implement Document Management Systems in local councils, as well as the organisation of management and administrative records in municipalities with fewer than 10,000 inhabitants (pilot test, scheduled).
ACTUAL software (Unified Local Administration Acts): an online browsing service and tool for the publication and back-up filing of the minutes of the plenary sessions and board meetings held by local councils and other local bodies.
The General Archive of the Girona Provincial Council is housed in two premises situated barely 200 metres apart: recent records are kept in the Palace of the Provincial Council, in Pujada de Sant Martí 5, while the historical collections are housed in the old Convent of Sant Josep, in Plaça de Sant Josep 1.
